The Definition Report gives you a comprehensive view of all defined, undefined and unused terms in your agreement.
The Defined Terms tab lets you review and navigate your definitions efficiently, without having to scroll through long definition schedules in the document itself.
Accessing your defined terms
The Defined Terms tab displays a complete list of every term that has been formally defined in your document, giving you a quick overview of all definitions at a glance.
To view a definition, simply click on any term in the list, for example, "Accounting Principle". The full definition will appear in the side panel, allowing you to review it without scrolling through your document.
Navigating to where a term is defined
Click the Go to arrow next to any term to jump directly to where it's defined in your agreement. This is particularly useful when you want to:
Review the context around a definition.
Make edits to the definition itself.
Check the formatting or placement of the entry in the definition schedule.
Tracking term usage
Expand a term by clicking the gray heading box to see every occurrence of that term throughout your agreement. This helps you:
Verify the term is being used consistently.
Identify the sections of the document where the term appears.
Ensure that defined terms are actually being referenced in the body of the document.
This is also a useful sense-check before finalizing a draft, if a defined term has no occurrences listed, you may want to remove it or check whether it should have been used somewhere.
Searching for a specific term
If you're looking for a particular definition, use the search function within the Definition Report. Type the term you're looking for and Definely will quickly locate and surface it, even if it's housed in a linked document.
Replacing a defined term
If you need to swap a defined term for a different word, you can use the Replace option. You can choose to replace the term throughout your document in a single action, which is a quick way to keep your drafting consistent, particularly when changing standard template wording to match the language of a specific transaction.
Setting a primary definition for terms with multiple definitions
If Definely finds more than one definition for the same term, you can decide which one should be treated as the primary.
You'll notice that any term with multiple definitions has a number displayed at the top of the definition card, which corresponds to the number of definitions Definely has found. To set your primary definition:
Click the drop-down arrow next to the number on the definition card.
Choose the definition you want to use as your primary.
The next time you click on that defined term, your preferred definition will be shown in the side panel by default.
Top Tip: pop out the Definition Report
If you're doing a longer review, pop out the full Definition Report so you can work across all three views at once, the side panel, the document itself and the Definition Report. This is particularly useful on a wider screen, where you can keep everything visible side by side without having to switch between tabs.
