Linking multiple documents

This article walks through how to link documents, identify cross-document terms, edit definitions in their source document and link PDF files.

When you're working across a suite of related agreements, definitions are rarely in one place. Definely Draft/Definely Read lets you link your documents so you can access terms defined in a separate agreement, with a single click, eliminating the need to flick between files to look up a definition.

How to link documents

1. Open the Link Docs tab

Navigate to the Link Docs tab in Definely Draft/Definely Read. The system will automatically detect any documents you currently have open in Microsoft Word.

2. Select documents to link

Choose the document you want to link from the list of detected files. You can link multiple documents to create a complete suite of related agreements.

3. Identify cross-document terms

Once the link is complete, terms that are used in your current agreement but defined in a linked document will be highlighted in a brighter shade of green. This visual distinction helps you quickly identify which definitions come from another file in the suite.

4. Access definitions from linked documents

Click on any highlighted term to view its definition from the linked document in your side panel. For example, if "Margin" is defined in a linked master agreement, you can access that definition without leaving your current document.

Editing terms in linked documents

You can also edit definitions in their source document without losing your place in the current one:

  1. Click Go To on the definition card. Definely will open the linked document and take you directly to where the term is defined.

  2. Make your edits in the source document as needed.

  3. Click Go Back to return to your original position.

Your edits will automatically update in the Definely side panel, so you always see the most current definition without needing to refresh.

Linking to PDF documents

You can also link PDF documents to your workflow:

  1. Navigate to Link New Docs.

  2. Select the PDF file you want to link.

  3. Definely Draft/Definely Read will automatically convert your PDF to Word format.

  4. Access terms from the converted PDF just like any other linked document.

Top Tip: The steps above can also be used to link to documents saved locally on your machine, even if they aren't currently open in Word.
