Definely Draft/Definely Read lets you add new definitions to your document with automatic alphabetical placement and correct formatting in the definitions section. Instead of scrolling to your definition schedule, working out where the new term should sit, and matching the style of the existing entries by hand, Definely handles all of that for you in a few clicks.
How to insert a definition
1. Select your term
Highlight the term you want to define in your document, for example "Repayment Date".
2. Open the Insert Definition window
You have two options for opening the Insert Definition window:
Click Insert Definition in the Definely ribbon in Microsoft Word, while working within the document itself, or
Right-click on the highlighted term if you're working within the side panel and choose Define.
3. Complete the definition fields
A dialogue box will appear asking you to check and provide some information:
Keyword. The defining expression for your term (for example, "means" or "shall have the meaning"). Definely will pre-populate this with the typical wording already used in your document, but you can adjust it if needed.
Location. Choose where in your document the definition should be inserted, typically your definitions schedule.
Insert Definition Position. Definely will automatically place the definition in the correct alphabetical order, but you can change this if needed.
Definition. Enter the wording that explains what the term means in your agreement. This field is not pre-populated. If you have Definely Vault, you can search your precedent documents for a relevant definition to insert. Otherwise, you'll need to enter the wording manually.
4. Save and let Definely handle the formatting
Once you've filled in the fields and hit Save, Definely Draft/Definely Read will automatically:
Place the term in the correct alphabetical order within your definitions section.
Match the formatting style of your existing definitions.
Ensure consistency with the rest of your document structure.
Your new term will now be highlighted in the document, showing that the definition has been successfully added.
