The Unused Terms tab in the Definition Report identifies definitions in your agreement that have been formally defined but aren't actually used anywhere in the document. It's a quick way to clean up your definitions section by removing or managing redundant terms, particularly useful if you started from a template.
Identifying unused definitions
The Definition Report automatically flags any term that appears in your definitions section but is never referenced in the body of your agreement. Unused definitions can clutter your document and may confuse readers, especially counterparties unfamiliar with the underlying template.
The Unused Terms tab displays a complete list of these definitions, saving you from manually searching through your document with Ctrl+F to identify them one by one.
Managing unused terms
For each unused term in the list, you have three options:
Delete: remove the term from your definitions section entirely. This is ideal for definitions that were carried over from a template but aren't relevant to the agreement you're now drafting.
Replace: substitute the unused term with different terminology throughout the document, useful when you want to standardise language across the agreement.
Hide: keep the definition in your document but remove it from the Unused Terms list. This is helpful if you plan to reference the term later, or you have another reason for retaining it.
Bulk deleting multiple terms
If you have a lot of unused definitions to remove, you can save time by deleting them in bulk:
Select the terms you want to remove by ticking the boxes next to each unused definition.
Click the bulk delete option to remove all selected terms from your definitions section in a single action.
This is particularly useful when you're working with a template agreement that contains a lot of standard definitions you don't need for your specific transaction or case.
A note on inline terms
Unused inline terms cannot be deleted via the definition report. Where a term has been defined inline within a clause rather than in the definitions section, you'll need to delete it manually in your document. Use the Go To arrow to jump straight to the inline term in your document and remove it there.
